Custom ERP · KRONOS
From tender workbook. To connected operations.

THE BUSINESS CHALLENGE
When one spreadsheet carries an entire commercial process.
The company had a detailed tender method. Its logic and handovers needed to support several teams without relying on copied formulas and competing workbook versions.
Preserve the business logic
Positions, geometry, materials, processing, waste, markups, deductions, and tax all contributed to an offer. Translating that knowledge required precision.
Separate the views, connect the work
Architects needed specifications without prices. Procurement needed verified costs. Administration needed the full commercial picture.
Control prices before submission
Prices could change during preparation. The team needed clear approvals and a reliable record of the prices behind each submitted offer.
Keep the connection after the award
Planning, purchasing, execution, and actual invoices needed to stay connected to the tender’s original cost basis.
WHAT CHANGED
A shared workflow. Clear ownership at every stage.
Kronos turned the established tender method into business software, preserving the company’s working knowledge and the responsibilities of each role.
Tender structure
Position blocks, formulas, and repeated spreadsheet rows.
Sections, positions, parts, reusable assemblies, alternatives, and geometry-aware quantities in one workspace.
Materials & procurement
Separate supplier records and price checks for every offer.
A shared material master, suppliers, price history, and CHF, EUR, or RSD source prices, verified by procurement.
Team handovers
Messages, file copies, and manual readiness checks.
Three role-specific workflows run in parallel. Each team marks its work ready; relevant changes reopen the affected stages.
Offer calculation
Commercial formulas maintained across spreadsheet cells.
A dedicated view for markups, overheads, waste, deductions, and Swiss VAT, keeping cost and client price separate.
Submitted offers
Old file copies preserved the basis of each offer.
Submission freezes resolved prices and commercial inputs. Later catalogue changes do not alter an offer already sent.
After the award
Planning and financial follow-up moved into separate tools.
Won projects continue into execution, responsibilities, deadlines, invoices, and actual-cost review against the frozen tender.
HOW WE WORKED
Built from the real tender. Improved through live work.
We started with the existing workbook and developed the system alongside the people using it.
Understand the source of truth
Analyse real tender structures, units, formulas, and edge cases before designing the software.
Deliver the core workflow
Bring materials, tender structure, role separation, calculation, and submission into production first.
Learn from daily use
Develop with architects, procurement, and administration, addressing friction through focused releases.
Protect established rules
Use automated tests and controlled deployments as capabilities grow around pricing, access, history, and submitted offers.
BUILT FOR EVERYDAY RELIANCE
Commercial controls behind every tender.
The system’s rules support how people work, how prices are approved, and what must remain unchanged after submission.
Access follows responsibility
Price access is enforced on the server. Architects work with specifications; financial access follows procurement and administrative responsibilities.
Submitted offers stay fixed
A snapshot preserves prices and commercial inputs. Future supplier prices, exchange rates, or tax settings do not rewrite the submitted offer.
Changes remain traceable
Price history and important actions record changes and ownership. Readiness is explicitly confirmed by the responsible team.
Calculations follow the right basis
Quantities use square metres, linear metres, pieces, or hours as appropriate, with decimal arithmetic and Swiss CHF presentation.
The interface speaks the business language
Serbian and Swiss German interfaces use the company’s tender vocabulary. Business content remains as entered by the team.
Improvement continues
Deployment, monitoring, support, and further development remain part of the engagement.
THE RESULT

A live tender system growing into the company’s ERP.
Kronos now connects the work from an architect’s position through procurement verification, administration’s offer, submission, execution, and actual-cost review. The practical result is one controlled commercial record, with teams working in parallel and access aligned to their responsibilities.
